Scribe Draft Order ImportB2B purchase orders to draft orders
Live on the Shopify App Store

No more manual order entry. Each buyer's PO becomes a checked draft order.

Wholesale buyers send purchase orders, and someone retypes every line into a sales order. Scribe ends that manual order entry: upload the PO, or have buyers email it to your own PO inbox. Each PDF, Excel, CSV or photo is read, each line matched at the account's B2B prices, buyers' codes remembered, and checked against the document. Clean POs become draft orders, or orders on terms, by themselves; anything off waits with the reason. Standing orders place each account's usual order on schedule.

Free plan available. Starter has a 14-day free trial. Scribe was called The Usual until November 2026.

What it does

Purchase order processing for Shopify B2B: from a buyer's email to a checked draft order, with nobody retyping lines.

  • Your own PO inbox: buyers email purchase orders, and each one becomes a draft order
  • PDF, Excel, CSV, a photo of the page or the order written in the email, or upload the file
  • Each line matched by SKU, barcode or the buyer's own code, at the account's B2B prices
  • PO validation: a changed price, a duplicate or an unknown item waits for you, with the reason
  • Clean POs become draft orders by themselves, or orders on payment terms when you turn it on
  • Converts cases and boxes to units, and reads every PO in one email
  • Standing orders: each wholesale account's usual order placed on schedule
  • Receipts to buyers when their PO becomes an order, in their language (paid plans)

How a purchase order becomes a draft order

Nothing reaches Shopify until every line is matched and proved, or you decide.

  1. Buyers send their PO
They email it to your store's own Scribe address, or you forward it or upload the file. PDF, Excel, CSV, a photo of the page, or the order typed in the email.
  2. Each line is read and matched
Spreadsheets are read by column. PDFs and the email's text are read by AI, and each line is checked against the document's own text; a photo or a scan always waits for review. The account is found, and each line is matched by SKU, barcode or a code remembered for that company.
  3. Everything is checked
Prices against the account's B2B prices, PO numbers already received, revisions, unknown items, stock and your minimum order. Anything that doesn't add up waits for you, with the reason.
  4. A draft order comes out
A fully checked PO becomes a Shopify draft order with the PO number, at the account's prices. On paid plans it can be placed as an order on the location's payment terms, and the buyer can get a receipt.

Your data

  • Scribe stores identifiers, not people: company, location and contact IDs.
  • Names, addresses, phone numbers and email addresses are read from Shopify when needed and never written to its database.
  • A purchase order's files are kept for 30 days, then erased.
  • Nothing is sold, shared for advertising, or used to profile anyone. Uninstalling deletes everything the app holds for your store.

Questions

Which purchase order formats can Scribe read?

PDF, Excel (.xlsx), CSV, photos of the page (JPEG, PNG, WebP or GIF) and an order written in the email itself. Word files, old .xls files and HEIC photos are not read, and Scribe says so on the purchase order with the reason.

How do buyers send their purchase orders?

Your store gets its own Scribe address. Buyers email their POs to it, or you forward the ones that reach you. You can also upload a PO's file in the app.

Does Scribe use my B2B prices and payment terms?

Yes. Each line is priced at the company location's B2B prices, and the draft order carries the PO number. On paid plans, a fully checked PO can be placed as an order on the location's payment terms.

What if the AI reads a line wrong?

Each line read by AI from a PDF is checked against the document's own text: its item code, unit price and quantity must be words of that line. A photo or a scan has no text to check against, so it always waits for review. A line that can't be proved, a product matched only by its name, a changed price or an unknown item holds the PO for you, with the reason.

Can Scribe place orders without anyone checking them?

Only if you turn it on, on a paid plan. Then a purchase order from a verified sender, with every line matched by its code and proved by the document, and nothing to warn about, is placed as an order on the account's payment terms. Everything else waits for review.

Can Scribe convert cases to units?

Yes. Say once that 1 CS of an item is 12, for every account or only for one company, and from then on 6 CS on a PO orders 72, shown as 6 CS × 12 = 72. A quantity that doesn't come to whole items is never ordered until you set it.

Does Scribe do standing orders?

Yes. Each wholesale account's usual order is placed on a weekly or monthly schedule, as a draft to review, an order on payment terms or an emailed invoice. An order is held when a price moves, stock runs out or an invoice is overdue.

What customer data does Scribe keep?

Identifiers, not people. Names, addresses, phone numbers and email addresses are read from Shopify when needed and not stored. A purchase order's files are kept for 30 days, then erased. The privacy policy lists everything.
